Passive Programming Ideas School Librarians Can Run With Less Effort.....Join Us For This Fun New Follett Content Webinar, Friends!

I am so excited about our upcoming Follett Content webinar, Passive Programming Ideas School Librarians Can Run With Less Effort, on November 17th at 2:00pm CST.

As shared in the invite,

You've got twenty things pulling at you before first period even starts, and "run more programming" is not what you needed on your to-do list. But your library still needs to feel alive between classes, during lunch, when kids just wander in with ten spare minutes.

Shannon McClintock Miller has spent years building low-lift, high-engagement passive programming that doesn't require another staff meeting, another hour, or another line item in your budget. She's back to walk through what actually works.

In this session, you'll:

  • Identify low-prep passive programming ideas that take minutes to set up

  • Build a rotating lineup so your space stays fresh without constant reinvention

  • Choose free or low-cost resources that work with a tight budget

  • Get ready-to-use ideas organized by grade level you can adapt immediately

Whether you're running a one-person library or leading a team, this one's for you.

You can register for the webinar here.  And don't worry if you can't make it live. The recording and resources will be shared with everyone who registers after the webinar too.

Can't wait to see you there, friends.

School Fundraising Made Easier: A Low-Volunteer Book Fair Guide!

Planning a school fundraiser takes time, coordination, and volunteers. For many PTAs and PTOs, finding enough people to help is one of the biggest challenges. That's why finding practical school fundraiser ideas that fit your team's capacity can make all the difference.

A school book fair offers an opportunity to raise funds while connecting students with books they love. With thoughtful planning, the right book fair partner, and a few low-volunteer fundraising strategies, your team can create a meaningful experience without taking on more than necessary.

Why Book Fairs Work for School Fundraising

Book fairs bring fundraising and literacy together. Students can explore new interests, discover stories, and choose books that capture their imaginations, while schools raise funds for library collections, classroom resources, and other priorities.

Beyond the financial benefits, book fairs build excitement around reading and bring families and schools together. They offer a way to support your school while helping students discover the joy of reading.

Choose a Book Fair Partner That Simplifies Planning

The right book fair partner can reduce the workload for your PTA or PTO. Look for support that makes planning, promotion, setup, and closing procedures easier.

Consider these questions:

  • Are planning guides, checklists, and promotional materials provided?

  • Is there a wide selection of books for different ages, interests, and budgets?

  • Are shopping options and payment methods clearly communicated?

  • Are volunteer roles easy to understand and manage?

  • Are fundraising rewards and customer support clearly explained?

Literati Book Fairs provides book fair resources and planning support to help schools organize their events. Reviewing available tools and rewards early can help your team make the most of your fair.

Make Low-Volunteer Fundraising More Manageable

Finding enough volunteers is a common challenge for book fair coordinators. The 2026 State of Book Fairs Report highlights how much community support can matter.

One in four coordinators ran their fair without a single helper. The difference was meaningful: 49.3% of coordinators who received help said their fair was more successful than the previous year, compared with 32.5% of those who worked alone.

The type of help matters, too. 61.8% of coordinators who received help planning the schedule reported a more successful fair, the highest percentage among the types of assistance measured in the report.

You can get a copy of the book fair report here.

For busy PTAs and PTOs, the takeaway is simple: start with the volunteers you have and focus on the tasks that make the biggest difference.

  • Plan the schedule early. Organize shopping times, volunteer shifts, and key responsibilities before the fair begins.

  • Keep shifts manageable. Invite families to help for 30 minutes or an hour rather than asking them to commit to an entire day.

  • Divide responsibilities. Assign specific tasks such as setup, decorating, running registers, and packing up.

  • Make promotion easier. Ask volunteers to share announcements, send reminders, or communicate with families, even if they cannot be at school.

  • Use available resources. Take advantage of your book fair partner's planning guides, checklists, and promotional materials to reduce the work your team must do alone.

You don't need a huge volunteer committee to run a successful book fair. Sometimes, the right help in the right place can make all the difference.

Keep Planning and Promotion Simple

A shared checklist with deadlines and assigned responsibilities can keep everyone organized without adding unnecessary meetings.

Before the fair: Confirm dates, establish your goals, review planning resources, assign essential roles, and share the dates with families and teachers.

During the weeks leading up to the fair: Send reminders, communicate shopping options, prepare promotional materials, and invite volunteers to choose manageable shifts.

During and after the fair: Keep instructions accessible, welcome families, complete closing procedures, thank volunteers, and share how the funds or rewards will benefit students.

For promotion, use the communication channels your school already relies on, including newsletters, classroom updates, emails, and digital calendars. Reuse ready-made graphics and messages whenever possible, and send a few well-timed reminders rather than creating a complicated campaign.

Connect Teacher Wish Lists with Classroom Needs

Teacher wish lists give families a simple way to support classroom libraries and help teachers add books their students will enjoy.

Keep lists focused, provide clear purchasing instructions, and make them easy to find. You might display them at the fair or share them through QR codes. If your book fair partner offers wish list tools, use them to simplify the process.

Make the Fair Welcoming for Every Reader

A successful book fair is about more than fundraising. It is also about helping every student find a book that sparks curiosity.

Offer a variety of genres, formats, reading levels, and interests, including picture books, graphic novels, early chapter books, nonfiction, and popular series. Celebrate all kinds of readers and remind students that there is no single right way to enjoy a book.

When possible, work with school staff to help students explore books before shopping. Consider options for supporting access, such as a school-sponsored book budget or donation program, based on your community's needs and resources.

Measure More Than Money

After the fair, look beyond the total raised. Consider whether you met your goals, how manageable the volunteer shifts were, whether families had the information they needed, and what students enjoyed most.

Track the time spent planning and running the event, too. These insights can help your team simplify future fairs and make better use of everyone's time.

Most importantly, share the results with your school community. Celebrate the funds raised, the resources those funds will support, and the books students discovered.

Make Your Next Book Fair Easier

School fundraising does not have to require a huge volunteer committee or an elaborate plan. By choosing a supportive partner, focusing on essential tasks, using ready-made resources, and offering flexible volunteer opportunities, your library staff,  PTA or PTO can make a book fair more manageable.

Most of all, remember why it matters. A book fair brings books and readers together. It can support school priorities while giving children the excitement of discovering a new story, exploring an unfamiliar subject, or finding a book that feels like it was written just for them. For busy school communities, that combination makes a book fair a rewarding way to bring fundraising and reading joy together.

You Can Get The 2026 State of Book Fairs Report Here, Friends!

The 2026 State of Book Fairs Report is here!

With our Literati Book Fair happening right now at Van Meter, I couldn't wait to read the results of the survey so many of us participated in.

As Literati shared in the book fairs report they conduced this year,

We asked book fair coordinators across the country to share details about their most recent fair: which provider they worked with, what challenges they faced, and whether they considered it a success.

Our book fairs are such a special part of our library and school community, it's very  helpful to learn from other book fair coordinators and see what's working and happening across the country.  Thank you Literati for pulling all of us together to share this important information as we work together to bring book fairs to all readers everywhere.
